What is the scope of work generator?
A scope of work sets out what a project includes — and, more usefully, what it does not. It names the objective, the deliverables, the dates, what is in scope, what is explicitly out of it, and what you need from the client before you can start. The out-of-scope list is the most valuable part of any project document, because almost every difficult conversation in freelance and agency work comes from a difference of opinion about whether something was included. A scope of work makes that question answerable by reading rather than by arguing. This generator assembles one in your browser from plain answers.
How our free scope of work generator works
Name the project and the dates
Project, client, start and end. A scope with no dates is a wish list.
State the objective
One or two sentences. How will both sides know this worked?
List in scope and out of scope
One item per line. Be more thorough with the out-of-scope list than feels comfortable.
List what you need from them
Assets, content, access, feedback within a set number of days. Dates depend on these arriving.
Copy it into your agreement
A scope of work is usually attached to a contract or a proposal rather than sent alone.
What can you use the scope of work generator for?
A fixed-price project
Fixed price only works with fixed scope. Without the second, the first is a bet you will lose.
A client who adds small things
Each small thing is genuinely small. The scope document is what makes the pattern visible and chargeable.
Work involving other suppliers
Name what other people are responsible for. A gap between two suppliers is where projects stall.
A project you have done before
Reuse the scope, adjust the specifics. Your out-of-scope list gets better every time you are caught out.
Who uses our free scope of work generator?
Freelancers
Stop a fixed-price project growing week by week until the rate has halved.
Agencies
Give the client and your own team the same definition of done.
Clients and project managers
Know what has been bought, and what will be charged separately.
Subcontracting
Hand a clear brief to someone working under you, so their scope matches what you promised.
Why use the scope of work generator?
Out of scope is a real section
Not an afterthought. It is the part that makes extra work billable rather than awkward.
Client dependencies are written down
If dates assume content arrives on time, say so. Then a late brief moves the deadline instead of your weekend.
Nothing is uploaded
Project details stay on your device.
In scope or out of scope? Common grey areas
These are the items that most often go unstated, and most often cause a dispute.
| Item | Usually worth naming as |
|---|---|
| Copywriting | Out — unless you have explicitly priced it in |
| Stock images and fonts | Out — licences are usually a client cost |
| Extra revision rounds | Out beyond a stated number |
| Hosting, domains, subscriptions | Out — client's own accounts |
| Training or handover | In, if you want it used properly |
| Bug fixes after launch | In, for a stated window such as 30 days |
Tips for getting the best results
Write the out-of-scope list from experience
Every time a project surprises you, add that surprise to the list you use next time.
Quantify revisions
'Two rounds of revisions' is a scope. 'Revisions until you're happy' is an open-ended commitment.
Tie the timeline to their input
State plainly that the end date moves if their feedback is late. It is fair, and it is far easier to say now than then.
Name a decision-maker
One person who signs off. Work approved by committee comes back three times.
Frequently asked questions
What is the difference between a scope of work and a proposal?
A proposal persuades; a scope of work defines. The proposal comes first and makes the case. The scope comes once they have said yes and pins down exactly what will be delivered.
Is a scope of work a contract?
Not by itself. It is usually attached to a contract, which carries the payment terms, ownership and liability. The scope says what the work is.
How detailed should a scope of work be?
Detailed enough that a disagreement can be settled by reading it. If a sentence could be read two ways by two reasonable people, rewrite it.
What should go in the out-of-scope section?
Anything a reasonable client might assume is included but is not. Copywriting, stock photography, hosting, ongoing maintenance, extra revisions, training.
What if the scope changes mid-project?
Use a change request. Write down what is being added, what it does to the price and timeline, and get it approved before starting.
Do I need one for a small job?
For anything over a day or two, yes. Small jobs are where scope creep does the most proportional damage, because there is no margin in the price to absorb it.
