Free Meeting Agenda Generator

Build an agenda with a stated purpose, timed items, who's coming and what to do beforehand. Writing down what has to be decided is usually enough to reveal that the meeting could have been an email.

What is the meeting agenda generator?

A meeting agenda is a plan for a conversation: what the meeting is for, who is coming, what will be discussed and for how long, and what people should do before they arrive. Writing one down has a useful side effect — stating what has to be decided is often enough to reveal that the meeting could have been an email. When the meeting does need to happen, an agenda with times against each item is what stops it overrunning, and a 'decisions and actions' section at the end is what stops everyone leaving with a different memory of what was agreed.

How our free meeting agenda generator works

1

Name the meeting, the time and the length

A stated length is the first thing that keeps a meeting short.

2

Write the purpose

What has to be true by the end for this to have been worth everyone's time? If you cannot answer, cancel it.

3

List who is coming

Name and role. Anyone who does not need to decide or contribute probably does not need to be there.

4

Add timed agenda items

One per line as 'Item — minutes'. The minutes are what make an agenda honest.

5

Say what to do beforehand

Read the draft, bring the numbers. Preparation is what turns an hour into twenty minutes.

What can you use the meeting agenda generator for?

A recurring weekly meeting

Reuse the agenda and change the items. If it is the same three items with nothing decided, the meeting is a status email.

A client kick-off

Send the agenda beforehand. Clients arrive prepared, and you look organised before you have done any work.

A meeting someone else called with no agenda

Write one and send it. It is not presumptuous — it is usually a relief.

A decision that keeps being deferred

Put it first with fifteen minutes against it. Items at the end of an agenda do not get decided.

Who uses our free meeting agenda generator?

Team leads

Run a weekly meeting that ends on time and produces decisions.

Freelancers and consultants

Send an agenda before a client call. It makes you easy to work with and keeps the call focused.

Project managers

Give a kick-off or review meeting a structure everyone can see in advance.

Anyone in too many meetings

Writing an agenda is the cheapest way to find out which ones are unnecessary.

Why use the meeting agenda generator?

Times against each item

A list of topics is a wish. A list with minutes is a plan, and it makes overrunning visible in the moment.

A purpose you have to write

The field that quietly cancels meetings that had no reason to exist.

A decisions and actions section

Who is doing what, by when — filled in during the meeting so nobody has to reconstruct it afterwards.

Tips for getting the best results

Put the most important item first

Energy and attention are highest at the start, and the last item always gets squeezed.

Send it at least a day ahead

An agenda that arrives five minutes before the call cannot be prepared for.

Invite fewer people

Every extra person adds time and reduces the chance of a decision. Send notes to the rest.

End by reading the actions back

Two minutes on who is doing what prevents the most common outcome of a meeting, which is nothing.

Cancel it if the purpose is thin

The best meeting is often a shorter one, and sometimes it is no meeting.

Frequently asked questions

What should a meeting agenda include?

The purpose, the date and length, who is coming, timed discussion items, anything to prepare beforehand, and space to record decisions and actions.

How far in advance should I send an agenda?

At least 24 hours, so people can prepare. Anything later and the preparation section is decorative.

Should I put timings on each item?

Yes. Timings are what convert a list of topics into a plan, and they make an overrun obvious while you can still do something about it.

How do I keep a meeting on time?

State the length, time each item, put the important thing first, and be willing to move an unfinished discussion to a follow-up rather than letting it consume the rest.

What if the meeting has no clear purpose?

Cancel it and send a written update instead. If you cannot write down what must be true by the end, the meeting has no end condition.

Who should write the agenda?

Whoever called the meeting. If nobody did, write it yourself and send it round — it is almost always welcomed.
