Free Receipt Generator
Produce a clean receipt showing what was paid, when and for what. Useful the moment a client's bookkeeper asks for one, and for your own records at the end of the tax year.

What is the receipt generator?
A receipt is proof that money changed hands. An invoice asks for payment; a receipt confirms it arrived. Clients ask for one when their bookkeeper needs it, when they are claiming the cost back, or simply because they want a record. You will also want your own copy at the end of the tax year, when the question is not what you invoiced but what was actually paid. This generator produces a clean receipt with the amount, the date it was paid, what it was for and how it was paid, and lets you download it as a PDF. Everything is assembled in your browser.
How our free receipt generator works
Fill in who paid and who received
Your business details are saved on your device, so you only type them once.
List what was paid for
One line per item, or a single line for the whole job. Tax and discount if they apply.
Add the date it was paid
Not the invoice date. The paid date is the one that matters on a receipt.
Download the PDF
Send it to the client and keep a copy for your records.
What can you use the receipt generator for?
A client paid in cash
Cash leaves no bank record. A receipt is the only evidence either of you will have.
A client paid a deposit
Issue a receipt for the deposit, and another for the balance. Two receipts, one clear trail.
A client's accountant is chasing paperwork
Send the receipt rather than re-sending the invoice. They are asking for a different document.
Your own year-end
A folder of receipts is the fastest way to reconcile what was actually paid against what you invoiced.
Who uses our free receipt generator?
Freelancers and consultants
Give clients the paperwork their accounts team needs, without arguing about it.
Landlords
Issue a rent receipt each month, which protects both sides if the payment record is ever questioned.
Tutors, therapists and coaches
Clients often need a receipt to claim through an employer or an insurer.
Market and event sellers
Give a buyer a written record for a cash sale.
Why use the receipt generator?
Shows the paid date
The single field that makes a receipt a receipt rather than a duplicate invoice.
Records the payment method
Bank transfer, card, cash. It is the detail people need when reconciling a bank statement months later.
Nothing is uploaded
Names, amounts and payment details never leave your device.
Invoice or receipt — which one do you need?
| Invoice | Receipt | |
|---|---|---|
| Purpose | Requests payment | Confirms payment |
| Issued | Before payment | After payment |
| Key date | Due date | Date paid |
| Client uses it to | Know what to pay | Prove they paid |
Tips for getting the best results
Number receipts in their own sequence
REC-001 onwards, separate from your invoice numbers. Two sequences are easier to search than one mixed pile.
Reference the invoice it settles
Put the invoice number in the notes. It links the two documents for anyone reading them later.
Issue one receipt per payment, not per invoice
If an invoice is paid in two instalments, that is two receipts. Matching a part-payment to a full-value receipt causes confusion.
Keep them for as long as your tax authority requires
Commonly five to seven years. Check your own country's rule and keep a digital copy.
Frequently asked questions
What has to be on a receipt?
Both names, the date the payment was made, what it was for, the amount, and how it was paid. Tax should be shown separately if you charge it.
Is a receipt the same as an invoice marked paid?
In practice many businesses use a paid-stamped invoice as a receipt and it is usually accepted. A separate receipt is cleaner, because it states the date the money arrived.
Do I need to give a receipt if the client paid by bank transfer?
You are not always required to, but clients often ask. The bank record shows an amount moved; a receipt shows what it was for.
Can I issue a receipt for a part-payment?
Yes, and you should. Show the amount received, and note the balance still outstanding so nobody assumes the invoice is settled.
Does this work for rent receipts?
Yes. Use one line item for the rent, the period in the notes, and the date the rent was received as the paid date.
Are my client's details stored?
No. The receipt is built in your browser. Your own business details are kept on your device only, for convenience.
