What is the quotation generator?

A quotation is a written offer: this is the work, this is the price, and the price holds until this date. It is not a bill. Nothing is owed until the client accepts it and the work is done, at which point the quote becomes an invoice. The distinction matters more than it sounds, because a quote that reads like an invoice confuses clients and a quote with no expiry date can be waved at you nine months later when your rates have changed. This generator builds the document in your browser: add your line items, set tax and any discount, give it a date the price is valid until, and download a PDF.

Tips for getting the best results

Always set an expiry

Thirty days is normal. Without one, you have made an open-ended promise about your own prices.

Say what is not included

The notes field is the cheapest insurance you will ever buy. Hosting, printing, revisions beyond two — name them.

Give the quote a number

QUO-001 onwards. It makes referring back to it, and turning it into an invoice, straightforward.

Do not pad the total to leave room for haggling

It reads as a made-up number, and the client who does not haggle has simply been overcharged.

Frequently asked questions

Is a quotation legally binding?

In most places a quote becomes binding once the client accepts it — that acceptance forms a contract at that price. That is exactly why the valid-until date matters, and why a quote should say what is not included.

What is the difference between a quote and an estimate?

A quote is a firm price. An estimate is a best guess that you expect to move. If you are not confident enough to hold the number, call it an estimate and say so in writing.

How long should a quote be valid for?

Thirty days is the common default. Use less if your own costs move quickly — materials, subcontractor rates, exchange rates.

Should I include tax in a quotation?

Show the tax as its own line. A total that quietly includes tax looks cheaper than it is, and a client who discovers it at invoice time feels misled.

Can I turn this quote into an invoice?

Yes. Use the invoice generator with the same line items. Because both are built the same way, the figures match without retyping.

Is my pricing information stored anywhere?
